Mailbox delete should mark all mailbox data for deletion

Customer urgently needs the mailbox delete options shown in the attached image to delete all data associated with the mailbox entry.

Some data is being marked for deletion, but not everything. They need all data associated with that mailbox entry marked for deletion in accordance with the "Delete only messages older" setting in the image.

The specific usecase is they have a partner sending 2+TB files to mailboxes just as a passthrough to other systems. These files are being stored outside the DB on NAS storage. They are almost out of capacity on the NAS storage and need to replace a competing product in another business unit with Sterling File Gateway. They are unable to do this because the 0 day mailbox setting does not mark the external files for deletion.

Instead, the files on the NAS storage are controlled by the Global Dataflow Lifespan setting which, for regulatory purposes of other data, needs to be kept at 14 days.

If this cannot be resolved they may need to switch to another product since they cannot get more NAS storage.

As stated above, they need this setting to mark all data associated with the mailbox entry for deletion.


Here's some more detail:

When you delete a message from the mailbox only the database and file system artifacts associated with the archive group 1 and 2 id’s are purged from the system. There is nothing that connects the mailbox message to the group 3 and group 4 id’s in archive info. Those artifacts will not be purged until the purge date meets the criteria set by the dmivisibility properties file settings.

GROUP 1 = Workflow id Mailbox delete resets the purge date from 10 year's in the future to current date. The artifacts are purged after the next index/purge processes run, every ten minutes.

GROUP 2 = Document id Mailbox delete resets the purge date from 10 year's in the future to current date. The artifacts are purged after the next index/purge processes run, every ten minutes.

GROUP 3 = Communication Sessions (ACT tables – session id) Mailbox delete does not reset the purge date. This is controlled by dmivisibility.lifespan_session. Artifacts are retained for 336 hours per our setting.

GROUP 4 = Data Flow (FG tables dataflow id) Mailbox delete does not reset the purge date. This is controlled by dmivisibility.lifespan_dataflow. Artifacts are retained for 336 hours per our setting.

Customer is on 6.1.2.5 in production and 6.2.0.4 in nonprod. Will be moving to 6.2.0.5 in nonprod once available.
